How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Joining our tuition centre for mathematics tuition
  • Informing us of a student’s current academic level
  • Making a complaint

Through any means of emails, telephone, or discussions with you.

A record of each of our student’s progress is also kept for the duration that each individual benefit from our services.

We use the information that you have given us for

  • The legitimate interest of registering your interests in our services.
  • The legitimate interest of your child’s enrolment for tutoring.
  • Processing your personal information to communicate with you to fulfil the contract between us to provide tutoring.
  • Processing your bank details for payments for tutoring to fulfil the contract between us to provide tutoring.
  • Processing your child’s information and academic records to monitor and fulfil the contract between us to provide tutoring.
  • Processing you child’s medical information for the vital interests of the child, to ensure they receive appropriate care and to respond to any emergency.

The type of information we may hold include:

  • Personal information (name, contact telephone number, contact email, date of birth, school).
  • Financial information (Payment history and bank account detail)
  • Academic Records involving EasyMaths.
  • Vital student medical information.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your personal information will be stored on systems owned or operated by EasyMaths or those of our specific suppliers and will only be stored inside the European Economic Area (EEA).

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to request erasure - request your information to be deleted or destroyed and if we can, we will but sometimes we must maintain some records for legal reasons.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How long we keep your information

  • We will retain your personal information in accordance with legal and regulatory requirements.
  • Your data will be deleted after two years if you have requested information, but we have had no further interactions with you.
  • Where you have registered for our service, but we have had no further interaction with you for a period of two years we will delete your data.
  • Where we have entered into a contract for tutoring services we must retain your, and your child’s, personal information for seven years after the end of the contract.
  • Academic records are destroyed at the end of each academic year.
  • Children’s medical information is deleted once a child is no longer registered as a student.

 

How to complain

You can also complain to the ICO if you are unhappy with how we have used your data.
